Laptops, chargers, cameras and keys go out on loan every day. Then someone asks: who has the camera, and when is it coming back? Meet vFound Equipment. Give every item a QR label, with its serial number and details on record. Bring your list over from a spreadsheet, or add items one by one. At the desk, scan a whole kit out in one go, and record who took it. They get a receipt by email, with the time it's due back. Reminders go out automatically, and anything overdue stands out. Scan things back in, and run a stock-take to see what's missing. vFound Equipment. Know who has what, and when it's due back. Try it free for fourteen days.

HOW IT WORKS

From reservation to return in three clear steps.

1

Build the equipment record.

Import a CSV or add photos, serial numbers, values, warranties and custom fields. Print a QR label for every item.

2

Reserve or hand out a whole kit.

Book a specific item or category. At pickup, scan one item or a complete kit and record the borrower and signature.

3

Keep returns, service and stock in sight.

Automatic reminders chase due items. Scan returns, log maintenance and run a stock-take to see what is missing.

WHICH DESK IS YOURS?

Four equipment desks, four places to start

Equipment checkout keeps one record of items, people and due times, but a classroom, a library, an IT desk and a film cage ask different things of it. Start with the closest.

BEFORE YOU CHOOSE

What to check before choosing software

Reserve equipment, hand out several items with a signature, and return only part of the set. Check availability and overdue items before the next reservation.

A good fit: For equipment desks checking items out to known borrowers, with reservations, signed handovers, due dates and returns.

Check your requirements: The borrower reserves an equipment category; staff choose the specific available item. Test that allocation process with your own kits and booking rules.

  1. Two overlapping bookings

Reserve equipment for overlapping times. Check the availability decision before promising it to a second borrower.

  2. A partial return

Hand out a laptop and charger with a signature. Return only the laptop and check that the charger remains checked out.

  3. An overdue borrower

Try your borrower limit and overdue rule with synthetic records. Check what staff see before checking out another item.

QUESTIONS

Frequently asked questions

Ask us anything

What is equipment checkout software?+

It records each asset, reservation, checkout, borrower, due time, return and maintenance entry. vFound Equipment adds QR labels, multi-item kits, category bookings, borrower rules, stock-takes and email reminders from any browser.

How much does vFound Equipment cost?+

US$58/month per venue, billed yearly at US$696 after a 14-day free trial. Items, reservations, checkouts, storage and team members are unlimited. A valid card is required to start.

Can people reserve equipment or borrow without staff?+

Yes. From My vFound, a person can reserve an available item in a category, for up to the time that category can be borrowed and within the borrower rules; staff can also reserve a specific item for them. An optional paired kiosk supports self-checkout with an exact email or ID, item scans and a signature.

Can we bring an existing equipment list?+

Yes. Preview and import CSV exports from Snipe-IT, Sortly or Cheqroom, or use the vFound headings. Imports support up to 5,000 items at a time.

How long is the history kept?+

A checkout record is kept for 13 months after every item in it comes back or is marked lost, then deleted with its signature. Equipment asset and maintenance records stay until the venue closes its account.

Is vFound an asset checkout system?+

Yes, for the equipment a desk hands out and gets back. Each asset gets a QR label and can hold its serial number, purchase and warranty dates, replacement value and up to ten custom fields, with reservations, maintenance logs and stock-takes by scanning. It is not full asset management: it does not track depreciation or software licences, so keep a dedicated system if you need those.

Does vFound remind people when equipment is due back?+

Yes. Borrowers get an email before anything checked out for six hours or more is due, then up to three overdue reminders a day apart, and things checked out together share one email. Staff can also send a reminder by hand without using up the automatic ones, and a Slack, Teams or Google Chat channel can get a daily overdue count with no names. Each checkout receipt has an add-to-calendar link for the due time.

Can vFound read our existing GS1 equipment labels?+

Yes. On the add-equipment form, scan a valid GS1 GTIN, GIAI or GRAI with the device camera or a keyboard-style scanner. vFound fills the supported identifier fields for staff to check before saving. It does not look up a product catalogue or silently treat an unknown code as an asset.

Can staff repeat a booking and check availability?+

Reserve again prefills one new reservation for staff to review, with fresh conflict checks. The staff availability timeline checks an item or category for each whole day in a selected range. It does not create recurring bookings.

Can we track warranty expiry and equipment utilization?+

Staff can filter recorded warranty dates and opt in to one email per item and warranty date within 30 days before expiry. Per-asset utilization reports and CSV exports show borrowed and available hours, excluding recorded repair, service and other unavailable time. Coverage starts when status history is recorded; earlier downtime is not reconstructed.
