VFOUND PARCELS, EXPLAINED

See a parcel go from the door to its owner in one short film.

A parcel's journey, in one short film.
Read the transcript

Every day, parcels arrive for people who aren't at the desk. Then come the paper logbook, the phone calls, and a shelf nobody can search. Meet vFound Parcels. When a parcel arrives, scan its label with the camera on any phone. vFound AI reads who it's for, and your team checks it before saving. The person it's for gets an email, with a private page for everything waiting. One code collects every parcel. They can snooze reminders, set a hold date, or send someone else. No app, no account. When they arrive, your desk sees them in the live queue, and which shelf to look on. Hand it over, take a signature, and it's on the record. vFound Parcels. Every delivery logged, and picked up. Try it free for fourteen days.

HOW IT WORKS

Three steps from arrival to collection.

1

Scan labels without closing the camera.

The barcode fills the tracking number and recognises major carrier formats. vFound AI reads the recipient and room from the label.

2

One private page keeps the recipient in control.

Their email opens every waiting parcel behind one QR, with desk arrival, snooze, hold and delegated pickup.

3

The desk sees who is here and where to look.

Open the live queue, take parcels from the named shelves, add an optional pickup photo and record any required signature.

Mailroom management: one log from the dock to the recipient

Whatever the building, a parcel passes through the same few steps. vFound keeps them in one record, so the person at the counter and the person on a delivery round see the same thing.

  1. 1

    Log and shelve

Scan the barcode or photograph the label. The recipient comes from your people list, and the parcel is given a shelf and any handling tag, such as fragile or signature required.

  2. 2

    Tell the recipient

The person gets an email with a pickup code, and a private page that shows every parcel waiting for them. Automatic reminders repeat at the interval you set, at most three times.

  3. 3

    Hand over or deliver

At the counter, staff find the parcel and record who collected it, with a signature when the venue requires one. On a delivery round, the signature is taken at each stop on a phone, and unfinished stops stay on the round.

Where your mail goes

Each setting has its own pressure points. These pages follow one setting from the first parcel to the last.

Mail that leaves the building

Illustrative workflow using synthetic sample data.

Staff can log an outgoing parcel with its carrier and tracking number, and record the courier's signature when they take it. That keeps a handoff on the record.

An outgoing parcel is logged with its carrier and tracking number.

BEFORE YOU CHOOSE

What to check before choosing software

Log an arrival, find its shelf, notify the recipient, and record collection by a delegate. Check the history without exposing private parcel photos publicly.

A good fit: For staffed mailrooms, residences and reception desks that receive parcels, notify recipients and record collection.

Check your requirements: Notifications use email. vFound Parcels does not send SMS or operate parcel locker doors. Confirm that a staffed collection process fits your building.

  1. An unclear label

Try a partly covered label and two recipients with the same surname. Check and correct the recipient and shelf before sending the notice.

  2. Several parcels, one pickup

Log parcels on different shelves for one person. Open the private pickup page and check that the desk can find the full collection.

  3. Someone collecting for a neighbour

Use a collection pass for a delegate. Try an incorrect code and check the handover record after staff confirm the right collector.

QUESTIONS

Frequently asked questions

Ask us anything

What is package management software?+

Package management software records each parcel a building or organisation receives for someone else, tells that person it has arrived, and records who collected it and when. It replaces the paper logbook and the phone calls with one searchable history.

Is vFound Parcels mailroom management software?+

Yes. It manages the physical mail and parcels a mailroom or front desk receives: logging, shelves, the pickup queue, delivery rounds and outgoing courier handoffs. It is not a package manager for software code, such as npm or apt.

How much does vFound Parcels cost?+

US$75/month per venue, billed yearly at US$900, after a 14-day free trial that requires a valid card; cancel before day 14 to avoid the yearly charge. Parcels, team members and storage are unlimited. It has its own price, so you pay only for Parcels unless you also use Lost & Found, Checkroom, Equipment or Visitors.

Do recipients need an app or an account?+

No. Their email opens a private My vFound page in the browser. One QR covers every parcel waiting for them, and they can say they are at the desk, snooze reminders, set a hold date or give a separate code to someone collecting for them.

What if vFound AI cannot read a label?+

Staff type the name instead. When it clearly matches one person on your list, that person is picked for you. Everything else works the same with or without AI.

Who can see parcel records?+

Your team and vFound’s platform administrators, who operate and support the service. Label photos and signatures are private files, and no parcel is ever shown on your public page.

How long are parcel records kept?+

While a parcel waits, and for 12 months after it is collected or returned. Then the record, label photo, pickup photo and signatures are deleted. Expired proxy codes and served queue entries are removed after 30 days.

Which carriers and barcodes does vFound Parcels read?+

The camera scanner reads QR Code, Code 128, Code 39, EAN-13, EAN-8, UPC-A, UPC-E, ITF, Data Matrix and PDF417, and a USB or Bluetooth barcode scanner works too. It validates a GS1 SSCC as shipment tracking and identifies GS1 product codes without treating them as a parcel number. Tracking is recognised for UPS, FedEx, USPS, DHL, Amazon, Canada Post, Royal Mail and other international post; any other carrier can be typed in.

What is mailroom management software?+

It is software that records each parcel a mailroom receives, tells the recipient, keeps track of where it is and records who collected it. vFound Parcels does this for parcels handled by your team.

Does vFound work for a central mailroom that serves several halls or departments?+

Yes. Name shelves by location, and use delivery rounds to take parcels to each stop with a signature. The university page follows the detail.
