School equipment checkout software: reserve kit and track every return.
vFound Equipment is school equipment checkout software for schools and universities: reserve items ahead, hand out a saved kit, remind borrowers before the due time and see which pieces are still out.
School and university desks hand out laptops, cameras, tablets and chargers to students and staff, and need them back before the next class needs them.
Choose the borrower and check the pieces before handing out a kit.
Valid card required. Cancel before day 14 to avoid the yearly charge.

Plan the lesson around equipment that is available
A camera can be booked for tomorrow while a charger is still with yesterday's borrower. Keep reservations, the kit handed out and each return visible as separate steps.
Reserve an item for a lesson; staff can reserve a whole saved kit the same way.

Before class: reserve equipment
Reserve a specific item or any available item in a category for a start and end time. Categories can require approval. Staff can also reserve every component of a saved kit together; if any component is unavailable, nothing is reserved.

At the desk: hand out a kit
Choose the borrower and a saved kit, check its available items and set the due time. The checkout records the individual items together. Borrowers receive a receipt; the desk can scan existing asset tags or vFound labels.

After class: count pieces back
Return the items that actually arrived, with their condition. If one piece is still out, the checkout remains partial. A damaged item can be set aside for repair instead of being offered to the next class.
The laptop is back. The charger is not.
Return the laptop on its own. Leave the charger checked out so the desk can follow up with the borrower instead of marking the whole kit complete. The screen below shows the remaining charger from a synthetic kit checkout.
The charger remains out after the laptop comes back.

Set your category rules before a busy checkout period: maximum items, checkout duration and an overdue block can shape what the desk allows. A rule can stop a new checkout while the borrower has an overdue item; it cannot make a late charger physically reappear.
Make the end-of-term sweep a desk routine
Use overdue checkouts to follow up with borrowers, and a stock-take to compare what was scanned with the equipment records. Those are different questions: what should be back, and what is physically on the shelf.

A paired kiosk can offer self-checkout by email or reference, item scan and signature. Test your borrower-identification procedure with staff first. A typed reference is not proof of identity, and self-checkout does not replace your supervision policy.
Use one teaching kit to evaluate the trial
Add sample items, make an item reservation and hand out a saved kit. Return only one component, check the outstanding checkout, then record the final return. Try a conflicting booking and an overdue borrower so the team sees both a normal day and a refusal. The 14-day trial requires a valid card.
What the equipment desk gets, and what it does not

| Your requirement | Fit | What to check |
|---|---|---|
| Prevent overlapping item reservations | Yes | The reservation and checkout checks refuse conflicting bookings for the same equipment. |
| Hand out a laptop and charger together | Yes | Saved kits group items at checkout. Individual returns keep missing pieces outstanding. |
| Book an entire saved kit as one reservation | Yes | Staff reserve a saved kit, or several items and categories, as one booking: every part or none. Borrowers on My vFound reserve one category at a time. |
| Track condition and maintenance | Yes | Return condition, repair status, serial numbers, warranty dates and maintenance records sit with equipment. |
| Connect a school student information system | No native connection | People can be imported from CSV. Do not assume a direct connection to your school's student information system. |
Questions from the equipment desk
Can students reserve a camera before a lesson?+
Yes. A reservation can request a specific camera or an available item from a category for a start and end time. You can require staff approval for selected categories. Staff can also reserve a whole saved kit as one booking: every part or none. The standard category form on My vFound reserves one category at a time.
What if a student returns the laptop but keeps the charger?+
Return just the laptop. The charger remains checked out and the shared checkout remains partial until its outstanding items are resolved. Record return condition for each item rather than treating the bag as proof that the kit is complete.
Can we block borrowing when equipment is overdue?+
Yes. Configure the overdue block in the category rules, alongside any maximum-item and checkout-duration limits. Test the rule with a sample borrower before introducing it at the school desk.
Does vFound connect directly to our student information system?+
No native student information system connection is offered here. You can import people from CSV. Check how you will maintain that list and how staff identify borrowers before choosing a workflow.
Do students have to install an app to see their checkouts?+
No. Borrowers can use their private My vFound page in a browser to see equipment checked out and due times. A receipt also includes the due time and a link to add the due time to your calendar.
Test a complete kit, then an incomplete return.
