A BAG, A PLACE, A TICKET

Hotel luggage storage software: every bag stored, found and returned to the right guest.

vFound Checkroom is luggage storage software for hotel bell desks: it records each bag with a photo, a collect-by time and its exact storage location, and gives the guest a QR ticket on their phone.

A bell desk holds luggage for guests who check out early or arrive before their room is ready, and hands it back hours later, often to a different colleague than the one who took it.

The guest keeps a numbered ticket in their browser.

Valid card required. Cancel before day 14 to avoid the yearly charge.

Illustrative workflow using synthetic sample data.

A guest checks out before lunch but has an evening departure. The colleague returning their luggage may never have met them. Keep the bag photo, ticket number, storage location and collect-by time on the record they will open.

The luggage record carries the photo and storage details.

    At drop-off

Photograph the luggage, record the pieces and choose the storage location. Set the collect-by time the guest gives you. For grouped luggage, individual pieces can have their own storage locations.

  2. 2

    While the guest is out

Email the ticket or let the guest scan its QR code. The phone page works without an app. The guest can ask for their things to be prepared; staff see the request and mark it ready.

  3. 3

    At collection

Use the ticket to find the stored pieces and record the hand-back. If only some bags leave, return those pieces and keep the rest in storage. A collect-by time helps organise the desk; it is not an automatic hand-back.

Complimentary storage or your own payment terminal

Keep storage free, record cash, or record a payment already taken through your own POS or card terminal. The ticket keeps the fee and payment method. vFound does not charge the guest, sell storage by the hour or add a per-ticket fee.

Your hotel decides its storage policy and fees. Recording a payment in vFound is not a payment-terminal integration.

When luggage is not collected

Luggage due later stays in storage when staff end the night. The closing list includes overdue luggage: ending the night marks it as Left and notifies guests who provided an email address. Staff can move selected items into Lost & Found; that separate product must be enabled. Follow your hotel's policy. Do not treat an overdue collect-by time as permission to dispose of a bag.

Rehearse a shift change with sample luggage

Use the 14-day trial to photograph a sample bag, issue a ticket and locate it from another team member's screen. Try a partial group return and the missing-ticket signature flow. Check your printer before changing physical tags. A valid card is required.

Questions from the bell desk

Can hotel guests store luggage before check-in or after checkout?+

Yes. Staff can record luggage, a storage location and a collect-by time without a room booking connection. Your hotel decides who may use storage and under what policy; vFound records the desk workflow.

Can the next shift find a bag without asking who accepted it?+

Yes, if the team recorded its location. The staff record holds the luggage photo, and individual pieces can have their own storage locations. Keep those records current when staff move bags.

What happens if a guest loses the luggage ticket?+

Staff can find the record by number, code or guest details, check the guest, and record a return without the ticket using the collector's name and signature. The software does not identify the owner from a bag photo.

Can we take payment for luggage storage through vFound?+

No. Take any payment through your own POS or card terminal, or accept cash, then record the fee and payment method on the ticket. vFound adds no per-ticket fee and does not process that guest payment.

Can a guest collect one bag and leave another?+

Yes. Staff can hand back selected pieces from a grouped ticket. The other pieces remain in storage, with their own status and location, until staff return them too.

Let the next shift find the bag from its record.
