FOR GYMS & FITNESS CLUBS

Gym lost and found software: the class ended, the earbuds are still by the squat rack.

Gym lost and found software gives every bottle, towel, pair of earbuds and forgotten key a photo, a location and a shared record, so members check a page before asking the front desk, and your team stops sorting a bin of identical black water bottles at every shift change.

With vFound, front desk staff snap a photo on the phone or desk computer they already use, and vFound AI writes the listing for your club’s own branded page. Members recognize their things by sight, search in seven languages or with a photo of a similar bottle, and see likely matches suggested by vFound AI. Your team decides who gets each item back.

Why the gym lost and found bin never empties

Gyms lose the same things every day: water bottles and shaker cups on the gym floor, towels on benches, earbuds and headphones by the racks, gloves and lifting belts in the studio, keys and fobs on the treadmill console, rings and watches taken off before a class. At closing, lockers are cleared and whatever was left becomes a bag of mixed clothing behind the desk.

Most clubs track this with a clipboard or a box. An entry like “black bottle, weights area” matches half the bin. The member asks the evening shift about something the morning shift found, nobody remembers where it went, and the box overflows until someone clears it out with no record of what was there.

How vFound works at the front desk

Whoever is on the desk logs the item in the browser with a photo, where it was found and where it is stored, and vFound AI suggests the title, category and description. There is nothing to install. Your club gets its own branded page at its own vFound address, plus a printable QR sign for the desk and the changing rooms. One line of code adds the same lost and found to your club’s website.

  • Members search the page by keyword, category or date, any time, from their phone, with no account and no app.
  • A member who recognizes their bottle or earbuds submits a claim with private details, such as a sticker, an engraving or the case colour.
  • Your team compares those details with the item and any staff-only photos, then accepts or declines the claim.
  • The member can book a pickup time within your opening hours and gets an add-to-calendar link and a reminder, and the return is recorded with who handed it over.

vFound AI for a bin full of black water bottles

Gyms lose the same things over and over, and one black bottle looks a lot like the next. vFound AI describes items from their photos, flags one that looks like it was logged twice and helps each member pick out their own.

  • vFound AI turns one photo into a suggested title, category, colour, a brand it can read on the bottle or headphones, and a description, ready to check and save.
  • Duplicate warnings flag a bottle that looks like it was logged twice, and staff keep the earlier record or dismiss the warning.
  • A member can search with a photo of a similar bottle or pair of earbuds; the photo is used for that search only and is not stored.
  • Members who report a loss see likely matches ranked with a one-line reason, and a standing watch emails them each time a likely match is logged, for 90 days.
  • Weekly AI insights sum up items, returns and hotspots by email and on the dashboard, so you can see which studio or changing room loses the most.
  • The claim check compares a member’s answers and proof photos with your private record and flags answers copied from the public listing. AI suggests. Your team decides.

Locker clear-outs, valuables and holding periods

Locker clear-outs stop being a mystery bag. Each item is logged with where it was found, such as a locker number or changing room, and where it is stored, so a member asking about their trainers gets a straight answer.

Keys, rings, bank cards and phones can be listed with the photo kept private, and when photo auto-fill reads a photo that shows an ID, a bank card or a lit screen, vFound AI’s privacy guard switches that photo to staff-only. The listing says a set of car keys was found in the studio; the owner proves it by describing the key ring or the car. Your club sets a holding period, expiring items are surfaced before they lapse, and towels and clothing can be donated or discarded on the record. Data export is included.

What your members experience

Instead of waiting at a busy desk while someone digs through a box, the member scans the QR sign, searches “shaker”, and sees it. If nothing matches yet, they can report what they lost, see possible matches right away, and get an email each time a likely match is logged over the next 90 days. Messages and status updates arrive through a private link by email, in thirteen languages. The page carries your club’s name, colours and cover photo.

Clearing the bin when the holding period ends

Items past their keep-until date wait in one list, Expired, to clear, so the bin does not fill with water bottles and earbuds nobody comes back for. Select them and choose Donate or dispose: the items are recorded together, with a certificate you can print and sign.

HOW IT WORKS

How vFound Lost & Found works

From the shelf to its owner in three steps.

  1. 1

Photograph it. vFound AI writes it up.

AI drafts the details for your team to check. Its privacy guard checks that photo; staff review every photo before publishing.

  2. 2

    Guests find it themselves.

Your branded website lets guests browse photos in thirteen languages. AI adds search keywords in seven languages to photo-filled listings and suggests likely matches.

  3. 3

Verify privately. Return on the record.

Claimants answer details only the owner would know. Your team checks, books the pickup or ships it, and every return is logged.

Frequently asked questions

Is it worth it for a single club, or only for chains?+

It works for both. A single club runs as one location, with one branded page and one inventory. If you run several clubs, one login can manage multiple venues, each with its own page and subscription, so a member of one site never searches another site’s lost property.

How do members find our lost and found page?+

Put the printable QR sign at the front desk and in the changing rooms, and add the link to your website and member emails. When someone asks at the desk, staff send the link instead of searching the box while a queue forms.

What do we do with clothes left in lockers at closing?+

Log them with the locker or changing room as the place found and the back office shelf as the place stored. They wait out your holding period, expiring items are surfaced in the workspace, and anything unclaimed is donated or discarded with a record of what happened.

Can every front desk shift use it?+

Yes. vFound includes unlimited team members, each with their own login, plus phone photo capture, photo-led browsing for members and vFound AI.

How do we stop the wrong person collecting keys or a ring?+

Keep the photo private and let the claim do the work. Category-specific verification questions ask for details only the owner would know, the claimant can attach proof photos, and staff accept or decline before anything is released. You can also require a second manager’s approval before a high-value item goes back.

Will vFound AI flag a water bottle that was logged twice?+

Yes. vFound AI flags an item that looks like it was logged twice, which is easy to do with a bin of similar bottles and two shifts logging them. Staff keep the earlier record or dismiss the warning. Listings written with photo auto-fill also carry the colour, any brand the AI can read on the item and a description, so members can tell look-alikes apart.

Does vFound AI decide which member gets an item back?+

No. vFound AI compares a claim’s answers and proof photos with your private record and suggests whether they are consistent, with red flags and a question to ask next. It never changes a claim or an item on its own and never identifies people from images. Your front desk team decides each claim and each return.

How do we clear out items nobody claimed?+

Items past their keep-until date wait in an Expired, to clear list. Select them and record a donation or disposal together, with a certificate you can print and sign.
